Operations Administrator

The role is a key appointment within the Coventry Operations team, contributing to the department’s operational objectives. This role reports directly to Warehouse Manager.

This newly created role is fundamental to the efficient running of the department, working alongside team leaders and managers.  Given this is a newly created role, it will require the development of reporting from the ground up in certain areas.

On a day-to-day basis the role will focus on the administrative and reporting activities required to support the operations management team to manage their teams and sharing KPI information with the wider business.

Should the candidate prove their capability in this role it is anticipated that opportunities to progress within the group will be available, as will additional responsibilities such as line management.

Primary Responsibilities

  • Update and distribute the Auto-CTS report daily.
  • Check in employees and record their hours in the staff rota daily as well as managing their exceptions on Kronos.
  • Once holiday has been approved by the TM scan the forms and email them to the HR Department.
  • Notify absent employees to the HR Department.
  • Collect the hours for each department and enter them into the daily operations report.
  • Track the probation periods of new employees and notify the Team manages/Leaders when a review is due.
  • Hold/File in progress probation review forms and scan and send completed ones to the HR Department.
  • Update the MCC daily with the previous day’s operations report.
  • Complete the daily sales order for the International mail.
  • Maintain a record of employees Bradford points. Log all leaving site forms on absence tracker and maintain absence log.
  • Collate and report on daily weekly and monthly absence figures and prepare any incentive payment spreadsheets and send to the HR Department for processing.
  • Track training records of warehouse staff and keep files up to date
  • Manage Time Sheets for all agency workers
  • Manage calendar meetings in liaison with the HR Department for TL/TM/WM interviews and meetings with employees
  • Produce daily signing in and out sheets for security

Requirements

The successful individual will have strong administration skills and with a good level of education with GSCE in English and Maths (Minimum grade C and/or a relevant IT/Computing or Business Administration qualification.  They will possess an organised and efficient approach to the duties required, gained through having worked in a similar office role for a number of years.

The individual will have a passion for understanding the key performance indicators within the operations department and be comfortable communicating daily updates to the management team.  To achieve this, you will need to possess a concise writing style and great communication skills.

The individuals will need to work effectively across the operational teams.  To be truly effective in the role, the individual will therefore need to possess IT skills and a demonstrable intermediate level of MS Office packages.

Whilst being a great team player is important to deliver the requirements above, the individual will need to be able to demonstrate an ability to work autonomously.

Warehouse Operative

As a Warehouse Operative, you will work efficiently and effectively as part of a team to achieve targets and job standards as set out by the Shift Leader or Assistant Shift Leader.

You will need to be flexible and adaptable in your approach to work as the role may involve doing a variety of jobs in the process such as the sorting of incoming goods, stacking and storage of goods and the picking and packing of items for dispatch to our customers.

Primary Responsibilities

Operational Requirements

  • In conjunction with the shift leaders and assistant shift leaders you will be multi-skilled across several processes including stock processing, picking, packing, dispatch and as a foreman.

Stock Processing

  • Responsible for processing incoming stock ensuring accuracy of placement within the correct tote.
  • Working to best practices and following documented procedures to ensure quality of books into tote locations.

Picking

  • Picking orders using a hand-held scanner or manual ticket process from storage totes and placing them at collection points.
  • Ensuring that totes are within regulation weight and not overfilled.

Packing

  • Packing orders in correct packaging and the placing of orders in the correct reciprocal in a timely fashion.
  • Ensuring orders are packaged and labelled correctly to prevent returned orders/complaints.

Dispatch

  • Prioritising workload and ensuring products are dispatched on time and to specification.
  • Assist with data collection and monitor York fill rates prior to dispatch with collection drivers.

Foreman

  • Ensure the put-away process is carried out methodically and accurately in line with company guidelines.
  • Ensure the culling process is completed swiftly and accurately and the racking is cleaned during the process.

Facilities Management

  • Responsible for escalating any facilities related issues to the SL/ASL.

Security

  • To work effectively with onsite security.

Health & Safety

  • Ensure that your station and working area is clean at all times and to perform any additional cleaning duties as requested by your Shift Manager or Health and Safety advisor.
  • Comply with, and make positive contribution to, all company policy, rules and procedures for Health & Safety and current H&S legislation and best practice.
  • Ensure understanding and comply with all company policy, rules and procedures for Health & Safety and current H&S legislation and best practice.
  • Responsible for ensuring you have the correct PPE.
  • Liaison and assist where necessary with other organisations and relevant authorities as required.
